The PMRC, Meeting Planning & Field Coordinator will be responsible to facilitate the review and approval process for all promotional pieces, works closely and collaboratively with the PMRC reviewers, project owners and agencies as well as coordinating the promotional materials fulfillment and decommissioning process. Will work collaboratively with various functional areas, primarily Medical Affairs, Regulatory, Legal & Compliance, Marketing, Public Affairs, Market Access and with external partners including vendors and agencies. Will independently manage a variety of programs of many types and sizes while adapting quickly to the budgeting, contracting, planning and financial process. Incumbent will manage the planning and execution of field/marketing meetings and medical conventions. He/she will provide counsel, promote cost savings initiatives, and ensure programs follow consistency and standardization while adhering to controls and compliance guidelines. Will manage the MTP-CA budget planning and execution, team calendars, Quarterly Action List development and execution, and other admin/projects as assigned.

Responsibilities

  • Facilitate the review of external communications and promotional activities.

  • Ability to lead PMRC meetings including all preparation of agendas, prioritization of items that require discussion, documentation of key decisions and next steps.

  • Ensure that all organizational SOPs and business rules are adhered to by all reviewers, project owners, agencies, vendors, etc. during all stages of the PMRC review process.

  • Trains new project owners, reviewers and agencies on their roles and responsibilities in the PMRC process and how to effectively leverage the Veeva system.

  • Conducts initial quality control on all marketing and sales training materials (e.g., sales aids, journal ads, slide presentations, websites, emails, promotional videos, patient materials for assigned brands) before submitting to Medical, Legal, Regulatory Reviewers

  • Develops and provides input for policies, procedures and training related to advertising, promotion and marketing compliance, drawing on a current knowledge of Canadian guidelines and regulations governing product promotions

  • Demonstrates strong attention to detail in recording agreed changes, document revisions during PMRC meetings and throughout the lifecycle of a piece from concept to decommissioning

  • Demonstrates strong communication skills in facilitating meetings

  • Lead weekly calls with Fulfillment warehouse vendor, monitor inventory levels and ensuring materials are being set up correctly by project owners and Agencies of Record (AORs)

  • Follows directions and manages multiple, concurrent projects while adhering to deadlines and tracking with overall workflow requirements

  • Manages annual planning calendar, annual budget development, on-going budget tracking, and maintains quarterly business reviews to ensure accurate meeting forecasting and service level expectations.

  • Drives flawless execution of meeting logistics from inception through completion, including onsite management for various meetings including, training meetings, POA meetings, convention management, launch meetings, and leadership meetings.

  • Manages venue/vendor search as required, negotiating agreements and contracts within company guidelines.

  • Leads detailed timeline management and execution for logistics to include, pre-event planning and review, air travel, hotel/rooming, event space, literature, gifts, exhibits/production/experiential, and event attendance and staffing.

  • Liaises with all event stakeholders (internal leaders and teams, medical/trade associations, preferred management companies and various vendors).

  • Develops comprehensive budget for each meeting and ensures it’s approved, adhered to, and that final costs and savings are reported.

  • Reviews company policies and serves as expert on compliance guidelines surrounding planning.

  • Monitors expense budget, develops expense forecast and supports Country Manager to manage company-wide resources

Qualifications

  • Minimum 1+ years experience working in Pharmaceutical or Health Care field required.

  • Experience working in an agency is an asset

  • Veeva PromoMats experience is preferred

  • Strong written and verbal communication skills

  • Experience facilitating review meetings by web-ex with reviewers and agencies in different locations

  • Strong organizational skills and the ability to juggle multiple projects and work well under pressure while maintaining stringent attention to detail

  • Proficiency in Microsoft Office products (Excel, Word, and PowerPoint)

  • Proficiency in Adobe Acrobat Pro (all editing is done electronically)

  • Proven ability to provide efficient meeting operations including oversight of internal/external partners involved with logistics (e.g., hotel staff, etc.)

  • Understanding of Canada requirements relative to commercial and scientific exhibiting (social events, giveaways, raffles, etc.)

  • Demonstrated knowledge of meeting logistical requirements (e.g., rooming requirements, meeting space, etc.)

  • Working knowledge of budgetary processes and reporting procedures.

  • Strong organizational skills and a proven ability to manage multiple tasks and priorities
